The MSSS has overall responsibility for the OFA’s registration process to guarantee SOCL/DLSO/PTTPL/OYSA affiliation and compliance. The MSSS works closely with the executive director, technical director, recreation director, and team managers to ensure that each team has all of the necessary paperwork, player passes and fees collected/completed (meet registration deadlines) in compliance with OFA/SOCL/DLSO/PTTPL/OYSA policies and procedures. The MSSS will assist the membership with questions or problems regarding registration/payments and provide guidance to members having difficulties understanding/utilizing the online registration system.
The MSSS will act as the primary liaison for the OFA and be a key player in the overall administration/operations/management of the organization. Furthermore, the MSSS will be the facilities (futsal center) and office manager of the OFA. This individual will fulfill any and all tasks related to operating a sports venue while maintaining a professional office environment to better serve our constituents/membership.
About Oregon Futbol Academy
OFA is a newly established soccer development organization in beautiful Grants Pass, Oregon, located on Interstate 5, northwest of Medford. Attractions include the Rogue River, famous for its rafting, and the nearby Oregon Caves National Monument located 30 miles south of the city. Grants Pass is 256 miles south of Portland, the largest city in Oregon,and serves Josephine and Jackson Counties with a population of roughly 286,000. The recreation program will have as many as 600 participants take part in the fall of 2017. Competitive teams will compete in the Southern Oregon Classic League (SOCL), Development League of Southern Oregon (DLSO), and the Portland Timbers/Thorns Premier League (TTPL).

Bachelor’s degree in accounting, finance, business administration, and/or management is highly desirable. Master’s degree preferred.

Understand and interpret OFA/OYSA /USYSA/US Club/USSF rules and regulations as they apply to teams, coaches, players and parents.
Extensive experience in handling cash, check, and/or credit card transactions.
Competency with office computer hardware devices and software programs.
Knowledge of internet marketing/advertising tools with a strong social media aptitude (e.g. Facebook, LinkedIn, Twitter, Instagram, and other social media outlets).
Be detail oriented, communicative, and player-focused.
Basic knowledge and understanding of OFA’s mission, vision, philosophy and training programs.
Be able to manage staff and volunteers, conducting programs and overseeing program budgets.
Must be comfortable working with the public, including public/private sector organizations and vendors.
Should be able to work with members of the public with limited English language abilities. Spanish language proficiency is a plus.
Deals with personal and sometimes sensitive information. Ability to maintain confidentiality is a requirement for the position.
All OFA staff must pass annual background checks.
MSSS Responsibilities, Goals and Expectations
Responsible for player registration and certify OFA/OYSA affiliation.
Implement and/or maintain the registration process to confirm accurate and timely registration of its membership for fall and spring.
Maintain and update OFA’s physical and/or online registration systems and provide for the efficient distribution of email notices, physical mailings, and the dispense OFA materials to area schools, daycare centers, municipal recreation departments and any other means necessary to ensure availability to the general membership and potential registrants.
Manage registration revenues and ensure timely reporting with the treasurer.
Create and maintain a database of all current registered players and alumni.
Coordinate with executive director to ensure criminal background checks are completed by all coaches, assistant coaches, team managers, and volunteers by prescribed deadline.
Assist in processing uniform orders and maintain accurate count of uniform purchases as part of registration procedures.
Provide executive director, technical director, age-group coach and/or coordinator with the latest age-group registration information.
Secure medical data for all registrants during the registration process.
Process and deliver player passes for all recreation, development, and competitive players.
Ensure that all players, coaches, and referees are affiliated in accordance with OFA/SOCL/ DLSO/PTTPL/OYSA requirements and submit all fees due.
Oversee registration logistics for fall and spring seasons, including walk-in registrations, distributing and receiving completed physical registration forms, determine registration dates, secure and govern the registration facility, and communicate registration logistics to the membership and general public.
Assist with the planning and execution of placement/tryout sessions, for all age-groups (recreation, development and competitive players), twice yearly (fall and spring).
Answer all calls. Provide answers to general questions/concerns whenever possible. Redirect any calls to executive director, technical director and/or appropriate staff when unable to assist.
Respond to general email requests and provide necessary information to satisfy membership and general public questions/concerns.
Act as office supervisor in the absence of executive director/technical director. Conduct wide-range of office duties (e.g. maintaining databases, inventory, filing, typing, record keeping, and minor accounting/bookkeeping/budgeting.
Act as facilities manager (futsal center/Academy office) during regular business hours (8:00 AM – 5:00 PM). This position will require supervisory components (e.g. managing training sessions, supervising games/matches, coordinating referees, and oversight of conduct of individuals inside the facility…guaranteeing everyone is following facility safety rules and regulations.
Reports directly to the executive director and Board regarding daily, weekly, and monthly activity within OFA.
Perform other duties as assigned by the executive director, technical director and/or OFA Board.
