The Assistant Coordinator will assist with the overall management of the sports facilities within the City's Sports Management and Tourism Department including the equipment, capital projects, programming, policies and procedures, concessions, marketing, events, and personnel.
Examples of Duties:
Provide on-site coordination of special events and programs: arrange services, coordinate and perform set-up and take-down, provide event supervision, technical support and evaluation, operate equipment, and work with event sponsors in planning and conducting events.
Hire, train, supervise, schedule, and evaluate part-time staff.
Primary work hours include evenings, weekends and holidays.
Assist with development, interpreting, and applying of policies and procedures as they relate to the facility and consult with and respond to questions and concerns of users.
Maintain professional knowledge required for position and serve as a contributing member of the staff.
Assist in budget preparation, preparing cost estimates for budget recommendation and submits justification for defined area of responsibility.
Assistant Coordinator - Operations
Assist with daily operations: monitor facility and equipment usage, conduct inspections and risk management assessments, develop and implement systems, and oversee custodial, maintenance and repair needs.
Assist with the scheduling of facility events and programs.
Manage capital improvement projects, permanent equipment purchases and equipment installations and repairs as assigned by Operations Coordinator.
Assistant Coordinator - Events
Assist with the development and execution of all programming for all ages from youth to adults within the facility, and coordinate a marketing plan to attract and retain users.
Assist with the scheduling, oversight, and generation of sales of leagues, clinics and tournaments.
Assist in creation of instructional programs, targeting all ages and ability levels to meet the developmental needs of athletes.
Maintain relationships with other organizations within the local sports community.
Coordinate referees and coaches for programmed activities.
Assistant Coordinator – Sales and Marketing
Oversee concessions operations: purchasing, selecting and costing of menu items, preparation and service of food and beverages, inventory control, and develop and implement systems to ensure high presentation and quality standards
Develop, track and manage the concessions budgets.
Prepare long-term strategy programs by continually seeking creative methods to increase concession efficiencies, decrease concession costs and provide an enhanced environment for users.
Maintain relationships with local businesses to attract corporate sponsorships.
Assist in the development of a marketing plan to attract and retain users.
Manage all aspects of social media as part of the marketing plan.
Bachelor's Degree required. One year of additional and related work experience may substitute for each year of college required. Minimum of two (2) years of related experience is required.
Experience in athletic or recreational facility management, event coordination, personnel administration and/or managing recreational activities is preferred.
Excellent written and verbal communication, public relations, organizational, planning and computer skills are required.
Ability to manage in a diverse environment with focus on customer service is required.
Must be willing to be hands on with staff and operations and willing to work event-based hours that include evenings, weekends and holidays.
