Normal Work Schedule: Monday - Friday 8:00 a.m. - 5:00 p.m., weekends and nights if needed.
Job Summary: The Events Coordinator directs the planning, implementation, execution, follow-up and budget of events occurring both on and off campus. This position is demanding and vital to the overall image of the assigned area in terms of attracting financial resources, quality students, corporate participation, and external support. Duties may include: conceptualization of event theme; creation of invitation lists; site selection; seating arrangements; inventory management; negotiating with florist, caterers, hotel sales directors and print shops for maximum cost containment; management of on-site contract staff, clerical support and student assistants; development and management of event budget.
Additional Department Summary: The Coordinator of Scheduling and Events is responsible for all administrative duties related to the Department of University Recreation (UREC) facility scheduling and coordination of requests for multiple indoor and outdoor facility spaces managed by the Department of University Recreation. Works closely with UREC programs, facility, and services staff to accommodate internal department, special events, camps, and general public requests; communicates with customers to ensure events are well coordinated and all needs are met; provides special event coverage; assists with assessment and makes recommendations for updates and modifications of processes to Associate Director of Facilities and Events.
The Coordinator of Scheduling and Events for the Department of University Recreation is responsible for and serves as the primary scheduler and approver of meetings and events scheduled at all UREC managed facilities which include the Student Recreation Center, Robert E. Witt Student Activity Center, Aquatic Center, UREC Outdoor Pool Complex, Intramural Field Complex, and UREC Tennis courts. UREC facilities see nearly one million visits and receives more than 200 reservation requests annually. UREC schedules and offers more than 125 exercise classes per week and schedules games and practice times for intramural sports leagues and 35 sport clubs. Responsible for completing required training that is related to laws and regulations, that creates a more hospitable and respectful workplace; and safer work environment.

Department Required Minimum Qualifications: Bachelor's degree and two (2) years of experience in events to include planning, directing, budgeting and promotion. Must include experience scheduling multiple facilities and management of large events.
Must have a valid U.S. driver's license. Must be at least 21 years of age at time of hire and have an acceptable motor vehicle record as determined by the insurance carrier.

Preferred Qualifications: Two years of facility management experience in a collegiate or municipal recreation setting. Extensive knowledge of facility scheduling software and invoicing.
