Duke University Recreation and Physical Education is seeking a qualified candidate for a Departmental Business Manager. This person will report to the Executive Director of Recreation and Physical Education. Will assist the Executive Director with the management of departmental finances and the administration of programs, policies, and procedures. Individual will provide oversight to all hiring procedures for full-time and part-time employees within Recreation and Physical Education and will provide direct oversight to Membership Coordinator, Staff Assistant, and Information Technology (IT) position.
Essential Functions • Prepare and maintain departmental budgets, providing the department head with regular assessments of financial strengths, weaknesses and potential problems or concerns • Coordinate budget and account adjustments as necessary to avoid overdrafts and unexpected variances • Coordinate departmental personnel activities, including, but not limited to, interpreting departmental and University policies and procedures, managing recruitment, placement, and termination, assisting with the resolution of complaints, and coordinating performance appraisal • Compile reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions • Recommend various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers and vacation schedules; supervise the work of designated employees, reviewing completed work for adherence to instructions or correctness • Work directly with the Executive Director to continue strategic budget and human resources planning • Assist Membership Coordinator with membership initiatives designed to increase recreation members and revenue • Provide assistance with recreation software • Form and manage relationships with partners across campus to help ensure business objectives and continuity • Working in close cooperation with the Executive Director, implementing and executing strategy for Duke Recreation memberships • Work with Sponsorships & Special Events to further grow the business. Responsible for creating contracts, liaising with sponsors, sending invoices and collecting sponsorship dollars. • Assist in helping to grow the Sponsorship space within Duke Recreation • Hire, train, supervise, evaluate and provide direct supervision for 3 full-time position • Provide managerial and leadership experiences for full and part-time staff and create promote professional development opportunities
Policy-making and/or interpretation Responsible for the development, implementation and interpretation of the policies and procedures governing recreation memberships, business and human resource functions of the department.
Supervision Received Reports to the Executive Director of Recreation and Physical Education Department. Day-to-day functions are accomplished with minimal guidance or supervision in accordance with established policies and directives. Overall guidance is accomplished through supervisory conferences (one on one meetings) setting broad goals and objectives.
Supervision Exercised Directly supervises 3 full-time staff and student employees.
Level of Public Contact Collaborates with other University Departments such as Duke Card, Live for Life, Human Resources, Budget/Payroll office.
Monetary Responsibility Oversees and tracks revenue generated through student fees, memberships, donations, programs, special events, and other streams of revenue.
Statement of Responsibility for Confidential Data Collects and secures confidential information regarding students, staff, faculty, alumni, and family. Maintains employee information and files in confidential manner.
Marginal Functions of the Job Performs other work-related duties as directed. May require nights and weekends. Ability to lift up to 50 pounds.
Required Qualifications Bachelor’s degree from an accredited institution in Education in Accounting, Business, or related field from a regionally accredited institution and four years of accounting, budget management, or financial reporting. Experience in word processing, spreadsheet programs, and database software and hiring/managing employees. Experience operating a personal computer with proficiency in Microsoft Office (e.g. Word, Excel, and Outlook) software. Experience with creating and implementing Human Resource policies. Should also be familiar with recreation software designed to track program, facility usage, membership and other areas within recreation.
Preferred Qualifications: Master's degree from an accredited institution in Education in Accounting, Business, or related field from a regionally accredited institution and two years of accounting, budget management, or financial reporting experience in higher education.
Knowledge, Skills, Ability Experience in accounting, budget management, or financial reporting. Experience in word processing, spreadsheet programs, and database software and hiring/managing employees. Experience operating a personal computer with proficiency in Microsoft Office (e.g. Word, Excel, and Outlook) software. Knowledge of current literature, trends in business management. Experience with Human Resources procedures and protocol. Ability to hire and supervise full-time and part-time staff. Ability and skills to deal with the public in a prompt, professional and courteous manner. Ability to work in a highly dynamic and diverse university setting. Ability to lift 50lbs. Ability to keep current with professional development opportunities such as conferences, training sessions, memberships, etc. SAP financial software experience. Ability to utilize and implement recreation software.
