The Associate Director contributes to the goals of Recreational Sports including the fitness and wellness of the Marquette University community. This position has particular responsibilities related to student personnel, risk management, assessment and technical operations of Recreational Sports. The Associate Director works directly with the Director of Recreational Sports with the coordination and support of a comprehensive recreation program and assists with the day to day operation, policy development, maintenance, capital planning and budget oversight. This position must be committed to serving on various university committees and representing the department in leadership roles that enhances the overall wellness and fitness of Marquette students, faculty and staff. With the anticipated construction of a new facility in the near future, this position will take on a significant leadership role in the planning, implementation and logistics of moving from the current facility to the new facility.
I. ESSENTIAL RESPONSIBILITIES
Student Personnel – Helfaer Recreation Center and Rec Plex
Coordinate the overall management of the Helfaer Rec Center and Rec Plex student personnel with the Rec Plex Assistant Director - Fitness. Recruit, hire, train, supervise, evaluate and schedule all part-time building student staff at the Rec Center and Rec Plex.
Work with the Rec Plex Assistant Director to fill student employee positions. Coordinate the applications, interviews and evaluation process of Building Supervisor positions. Recruit, hire, train, supervise, and review the performance of Student Managers and Building Supervisors. Assist with the training process of all new Building Supervisors and Student Managers. Design and offer ongoing training and leadership development in accordance with NIRSA goals and the missions of the Division of Student Affairs and Marquette University.
Conduct ongoing training meetings and communicate with student staff on all issues regarding policies and procedures.
Maintain close contact with the offices of Student Employment and Payroll.
Establish and maintain job descriptions and policies and procedures for all student employees.
Work with the Assistant Directors and Rec Plex General Manager regarding operation and staff scheduling of recreation facilities.
Manage all building reporting systems on iPads, FileMaker and Google Forms.
Coordinate the recruiting and hiring process for all professional and support staff positions.
Hire, train, supervise and evaluate Rec Sports, Assistant Director - Fitness, Maintenance Services Supervisor, Office Coordinator Rec Center and Office Associate Rec Center. Oversees the completion of all responsibilities related to these positions.
Prepare and process all personnel and payroll documentation and maintain required university employment records.
Prepare and administer the annual budget and continuously oversee the financial planning for the recreational sports program and maintain compliance with University accounting, auditing, personnel principles and procedures.
Supervise the purchase, maintenance, inventory, and security of all recreational sports equipment.
Assist Director with coordination and funding of all capital improvements and new projects.
Review and approve all accounting reports, purchase orders, revenue generation, expense analysis, and pricing and fees for services.
Represent the department on the DSA Assessment Committee.
Manage all department related assessment procedures and practices.
Coordinate the collection and analysis of department data.
Serve as the department representative with Campus Labs.
Coordinate all learning outcomes data collection and analysis.
Prepare Learning Outcomes Report and participate in peer review.
Coordinate a comprehensive departmental risk management plan.
Serve as primary liaison with General Counsel and the Risk Management Office in regard to all risk management issues.
Conduct two Rec Center safety audits every 12 months.
Develop program specific risk management plans including emergency medical response, emergency action plans and evacuation plans.
Ensure that all safety policies and procedures are up to date and followed throughout department.
Document all training of building supervisors.
Review all facility checklists and maintenance schedules.
Coordinate the management and supervision of the Helfaer Recreation Center weight room with Assistant Director – Fitness.
With the assistant directors, monitor the condition of all equipment and arrange for maintenance, repairs and replacement as needed.
Serve as department liaison in the area of technology.
Coordinate the use of various software programs for maintenance of membership records, employee records, tennis reservations and accounting reports.
Work closely with Rec Center Office Coordinator with the management of department website, Facebook and Twitter page.
Maintain department iPads and all related software.
Coordinate with the Coordinator of Facilities and Planning a daily cleaning scheduling for the Helfaer Recreation Center.
Coordinate with the Coordinator of Facilities and Planning special cleaning projects and special maintenance/repair projects.
Work closely with professional staff coordinating all building work orders and equipment repairs.
II. LONG-RANGE PLANNING RESPONSIBILITIES
Serve as an internal resource regarding trends and innovations in recreation.
Keep informed about new directions in recreational programming and facility design.
Make recommendations for long-range equipment purchases and facility improvements.
Assume a leadership role in the planning of the new facility and the coordination of moving the operation from the Helfaer Rec Center to the new facility.
III. SUPPORTIVE RESPONSIBILITIES
Work closely with the Director regarding preparation of the annual operating budget and general accounting procedures.
Assist the Director with related facility projects, renovations and strategic planning
Participate in Division of Student Affairs and University wide committees, activities, and programs.
Contribute to Marquette University’s mission and that of the Division of Student Affairs.
Help develop and maintain a healthy campus community of respect, caring and honesty.
Assume other duties and responsibilities as assigned by the Director.
Master’s degree in Sport/Recreation Administration and Management, Physical Education or a related field and seven-ten years of experience at the university level.
Member of NIRSA or equivalent professional organization.
Strong leadership and interpersonal communication skills to interact with a variety of people/groups, both internally and externally.
Previous experience managing budgets, financial reports and capital budgets.
Thorough knowledge with assessment, research methods, data collection and analysis.
Supervisory experience at the student staff level and full time staff level.
Strong commitment to student staff development.
Knowledge of collegiate recreational sports best practices and industry standards.
CPR/First Aid Certified.

Preferred: NIRSA Certified Recreational Sports Specialist (CRSS) or NIRSA Registry of Collegiate Recreational Sports Professionals (RCRSP).
