General Description of Duties:
The primary function of the Associate Director of Recreation and Athletic Facility/Operations is to ensure proper facility operations at the Woodruff Physical Education Center (WPEC) and Student Activity and Academic Center (SAAC) facilities. This position supervises two full-time employees: Coordinator for Memberships and External Operations and the Customer Service Specialist, as well as a graduate assistant. This includes: direct and indirect supervision of all operations student staff in the SAAC, supervision of the membership program for the WPEC and the SAAC, and daily oversight of facility maintenance and improvements at the SAAC, indirect supervision of aquatic operations and facilities at both locations.
This position is a full time, twelve-month, exempt professional staff member within Department of Athletics and reports to the Senior Director of Recreation and Athletic Facilities.
PROFESSIONAL, STUDENT STAFF AND DEVELOPMENT (20%)
Directly supervise and prepare performance evaluations for two full time employees and one part time graduate assistant.
Hire, train, schedule, supervise, evaluate, oversee payroll and provide referrals for approximately75-100 student employees.
Oversee and manage the bi-monthly student staff in-service training meetings.
Establish a student recruitment, retention and leadership development program for over 75-100 student employees.
Assist with the development and directly enforce facility policies and procedures related to operations for both facilities (WPEC and SAAC).
STUDENT ACTIVITY AND ACADEMIC CENTER- MEMBERSHIPS (20%)
Provide customer service to SAAC members, which include students, faculty, staff, alumni/ae, community and all eligible members of employees and students families.
Work closely with Recreation and Wellness staff responsible for programs.
Directly assist with unified memberships for the university and manages access for SAAC facility.
Serve as major decision maker on policies in the area of membership eligibility for SAAC memberships and the membership fee structure.
Manage all aspects of rental lockers, maintaining locker records, turning over lockers for new members and performing maintenance on locker units at the SAAC.
Maintain informational aspects of the website, utilizing Cascade.
Update membership services on all ID cards for access.
Manage the ID creation process for all non-faculty staff members
Work with Information Technology Services to maintain purchasing capabilities on the website.
Track online membership sales for budgetary purposes.
Assist in promoting and marketing all membership and recreational programming to the campus community.
Serve as the main liaison with the Emory Card office and campus community in matters related to member services.
Oversee operations of member management software systems.
Act as the customer service point of contact with patrons.
Develop and implement communications plan for member services.
Complete comprehensive analytical and statistical reports regarding membership and daily usage.
Assess effectiveness and satisfaction of services and facility operations.
STUDENT ACTIVITY AND ACADEMIC CENTER- FACILITIES AND SCHEDULING (20%)
Develop and review recommendations regarding short-term and long-range facility projects.
Enforce and oversee Environmental Health and Safety, OSHA and other facility regulations.
Work collaboratively with Campus Services to develop strategic and preventative maintenance plan, janitorial and fire safety for assigned facilities.
Coordinate with outside contractors to schedule maintenance and repairs at appropriate times.
Input schedules from athletics, recreation programming, non-departmental and external groups into scheduling software.
Work with groups to ensure safe and successful event.
Assist with the implementation and oversee proper policies and procedures for recreation and athletic facilities.
Work closely with athletic facilities staff to ensure communication with all staff and members is done in a timely manner when needed.
Make operational decisions related to the scheduling of the facilities and setting building hours.
Manage recreation facility software.
Serve as departmental liaison to Emory Police Department, Campus Services, Emory Card Services, General Counsel and Conference Services.
Maintain files documenting training, timekeeping and certifications as required.
FINANCIAL MANAGEMENT (10%)
Assist in the preparation, forecasting and monitoring of income and expense budgets as it relates to full time staff, student staff, memberships and facility operations.
Maintain records of membership participation, revenue generation, and expenditures.
Handle and process all income related to Member Services.
Consistently monitor all revenue and expense budgets.
Manage and update the departments point of sale with the correct prices, reconciliation and review student staff deposits.
RISK MANAGEMENT (5%)
Serve as the primary Risk Manager for all student staff training and facility operations.
Assist with the development and evaluation of a comprehensive risk management policies, procedures and guidelines for all operations for recreation and athletic facilities including outside facilities and swimming pools.
Ensure risk management guidelines are in line with industry standards, departmental policies and the University's risk management policies and procedures.
Instruct CPR/AED/First Aid courses for internal and professional staff to ensure compliance.
Serve on NCAA host management team as needed.
Attend departmental and divisional meetings as necessary.
Serve in an on-call function to support operations at the facilities.
Serve as a department ranking staff member on duty; which includes, but is not limited to, serving as a first responder for emergency situations and providing emergency care, providing customer service, resolving conflicts and making decision and judgments regarding program and facility usage.
This position is responsible for the integrity of Emory's intercollegiate athletics program and for the reputation of Emory University.
This position is responsible for insuring that his/her involvement with Athletic Department activities maintains the integrity of the University's reputation and does not negatively impact the relationship between the University and its faculty, staff, students and alumni.
Additionally, this position must comply with University policies and procedures, NCAA and conference rules and regulations.
Serve on campus committees as assigned. Some evening, weekend and holiday hours required. Performs responsibilities as assigned.
Bachelor's degree in Sports Management, Physical Education, Recreation/Leisure Administration, Higher Education or related field. At least three years of related experience in recreation operations. Graduate assistantship or internship experience considered if performed with primary emphasis in facility operations.
Master's degree in Sports Management, Physical Education, Recreation/Leisure Administration, Higher Education or related field. At least five years professional experience in related field. CPR/AED Instructor level certification.
Experience supervising full time staff supervision and student staff
Demonstrated experience in maintaining and managing facilities
Budget management and fiscal integrity
Knowledge of desktop applications including Microsoft Office, cash register software and recreation management software programs
Excellent interpersonal, verbal, and written communication skills
Demonstrated experience with supervising professional staff and student staff
Ability to handle multiple tasks with frequent interruptions
Ability to work independently with minimal supervision and as a team player
Excellent organizational and time management skills
Demonstrated experience and understanding of customer service
Knowledge of environmental and safety rules, regulations and policies and conduct job site inspections to ensure compliance.
