Under general supervision of the Assistant Director of Informal Recreation and Member Services, coordinate the day-to-day operations of the Activities and Recreation Center (ARC) and the UC Davis Health Fitness Center recreation facilities. Responsibilities include but are not limited to, lost and found, Informal Recreation and Physical Education programming, reservations, monitoring budgets, and assisting with facility-related repairs. Work cooperatively with the Membership Coordinator in the areas of customer service, access control, etc.; act as back up for the Membership Coordinator as necessary. Assist with special events, and serve on department or campus committees in support of the Department of Campus Recreation, the Division of Student Affairs, and the UC Davis campus community.

60% PROGRAM ADMINISTRATION Oversee day-to-day operations of recreation facilities of the ARC and the UC Davis Health facility, including Informal Recreation and Physical Education programming, reservations, assisting with facility related repairs, lost and found, etc. Ensure that facility information, holiday hours, etc. are kept updated on department webpage and signage is displayed as needed.
Provide excellent customer service: respond clearly and effectively to member inquiries, resolve complaints and troubleshoot member accounts and other issues. Ensure that patrons follow rules and regulations regarding ARC usage and enforce Informal Recreation participant guidelines and restrictions as needed.
Recruit, hire, train, motivate, and evaluate a large student staff. Ensure appropriate staffing levels based on facility usage. Provide leadership and comprehensive training for student staff regarding equipment rental, facility counts, fitness center operations, problem resolution, Building Supervisor responsibilities, and general facility practices and policies to ensure their ability to provide information, assist patrons and perform tasks well. Track and ensure completion of department and campus required trainings including online LMS, Mandated Reporter, FERPA, PCI Compliance, First Aid, AED, CPR, etc. Approve student timesheets, ensuring accuracy. Assist with supervising other Campus Recreation units' student staff as needed.
Assist with developing and implementing procedures, best practices and guidelines for Informal Recreation spaces to ensure adherence to campus Policies and Procedures. Maintain equipment rental and lost and found databases and manage member and user reports, including equipment use member billing figures, and locker day-use. Use monthly, quarterly and annual reports to monitor informal recreation activities and programming. Analyze fluctuations in equipment and facility use, user counts, area usage data and other relevant information to assist in planning, management of Informal Recreation calendar, budgeting, etc. Participate in data-based decision-making, using knowledge of campus and department policies and procedures to create departmental best practices to meet operational needs. Serve as the liaison to Physical Education staff, UCDHS staff, and others as needed to facilitate appropriate operational business.
Work cooperatively with Membership Coordinator regarding member services, to ensure shared best practices for providing customer service to patrons. Act as back up for the Membership Coordinator as necessary. Assist with Secret ARCer program. Implement a risk management plan and emergency action procedures. Assist with continuous evaluation and update of risk management plans and procedures. Monitor budgets for assigned areas regularly. Assist in budget development and management. Purchase supplies as needed within established operations budget. Serve as an active member in committees and work groups within the Department of Campus Recreation.
40% OPERATIONS Oversee equipment rental operation, lost and found procedures, laundry, etc. Manage check out systems at Equipment Room, including billing of patrons for unreturned equipment. Maintain inventory of all operations equipment. Coordinate, plan and implement facility cleanliness and repairs. Enforce established disciplinary systems with patrons who violate policies and procedures. Assist with facility equipment repairs, including but not limited to informal recreation equipment, cardio machines, and strength equipment. Assist Member Services Coordinator with Locker Cleanout process.
Position requires lifting equipment weighing up to 50 lbs.
Bachelor’s degree in a related area and/or equivalent experience/training Supervision and leadership experience to recruit, hire, train, motivate and evaluate student staff. Proficiency in both oral and written communication to interact with a diverse community in a clear, concise, effective, courteous and professional manner. Experience in handling conflict resolution. Knowledge of fitness and recreation equipment and their use. Experience with computer applications such as Microsoft, Excel, Word, PowerPoint, and database management.
Current first aid, CPR, AED certification. Experience in collegiate recreation facility operations, including ability to lead staff in providing and performing facility and equipment cleanliness and maintenance. Ability to interpret, communicate, implement, and uphold policies and procedures. Experience with budget development and efficiently monitoring expenditures. Management and organizational skills to plan, organize/determine workload priorities, meet deadlines, direct numerous and varied projects and activities, and to follow-up and troubleshoot issues.
