The Coordinator of Business and Member Services is responsible for advanced administrative, secretarial and bookkeeping duties. The Coordinator posts all account information and performs regular budget analysis of departmental accounts; interpret and implement accounting policies and procedures for department; manage the preparation of department business documents including journals, vouchers, purchase orders, contracts and inventory. Provides support for department employment process for student workers and full time staff as well as management of time sheets and payroll budget. In many of these functions, works with and advises the front member services staff in the completion of their duties. Responsible for recruiting, hiring, training, and developing student employees for the Member Services area of Campus Recreation and Wellness. Member Services will encompass oversight of membership processes, rentals and reservations for the department, and special events focused on membership recruitment and retention.
Posts monthly expenditures to 10-12+ accounts that encompass state funds (very restrictive), local funds, and grant funds. Regular heavy activity occurs in over half of these accounts each month. All accounts are reconciled against system data, reviewed by director and forwarded to business coordinator on a monthly basis. Distributes monthly reconciliation balances to director, assistant director, program coordinators.
Coordinates all human resource actions and processes all necessary paperwork (i.e., new appointments, separations, create new positions, participates in student worker interviews, and provides in-service for new student employees, student worker time sheet/payroll activity). Reviews bi-weekly and monthly trial payroll verification reports for accuracy and reconciles with submitted time sheets.
Oversees and processes contracts from outside vendors or groups. Assists the Campus Recreation professional staff on any special event contracts or reservations. Assists in events hosted by the Campus Recreation and Wellness including selection of contracts, budget checking cost center, verifying payment eligibility, routing for signatures and delivery to university contract administrator.
Assists in production and implementation of projects and programs as required, such as the annual compilation of the Campus Recreation event planning; preparation and/or staffing for University special events or annual development opportunities.
Creates and/or maintains the following spreadsheets monthly: Student worker weekly hours; reservation billings/rentals; departmental income; locker rental income; professional and student travel; departmental and program specific operating budgets; special event income; sponsorship or donation income; endowment income.
Attend staff meetings, staff training and development meetings serve as Secretary to the Campus Recreation Advisory Board as required. Oversees Member Services student staff and oversight of Reception and/or Welcome Desk Member Services area.
Inventory and order/purchases office supplies as needed. Assists in the planning and execution of group reservations (both internal and external), as needed, in conjunction with other professional staff. Create payment documents through PeopleSoft: including journals, vouchers, and purchase orders. Process payment of all departmental procurement cards. Manage office cash registers. Perform all other duties as assigned.

The Department of Campus Recreation and Wellness is new to the UHCL campus and will be expanding current facilities and programming opportunities moving forward. A new Campus Recreation and Wellness facility is in construction is scheduled to be completed summer 2018.
