The Activities Coordinator for Aquatics & Youth Programs is part of the Recreation and Wellness Center at Vanderbilt University and is a key individual contributor responsible for the daily management of the pool including all aquatic reservations and programs. This position is directly responsible for pool maintenance, event supervision, third party reservations, and developing the overall swim team program direction. The position will work closely with year round youth programming. Additionally, the position acts as a liaison for the Vanderbilt Recreation and Wellness Center with University and community patrons.

The mission of the Vanderbilt Recreation and Wellness Center is to encourage lifelong learning, develop healthy lifestyles, foster leadership, instill an appreciation for diverse communities, and enhance interpersonal relationships. This is accomplished by providing quality facilities, and by using intentional, educational, and enjoyable programming that focuses on for Vanderbilt University students, faculty, staff, and the greater Nashville community.
Our aquatic center is a multi-use facility for open recreation, Rec programs, Varsity Athletics, community reservations, and swim lessons.
Key Functions and Expected Performance:
Manage pool and pump room facilities and chemicals
Assist with facility maintenance management and improvement
Oversee all third party reservations for the pool and ensuring compliance with University, Rec and Protection of Minors policies
Responsible for communicating reservations, cancellations, and closures with all patrons
Teach CPR/AED/FA, Lifeguard classes and WSI classes
Advise all assigned aquatic club sports teams and Masters programs
Direct the swim team, Aqua ‘DORES including recruitment, participant/family communication, registrations and coaching responsibilities
Perform Lifeguard duties and teach swim lessons as needed
Responsible for aquatic equipment/supplies inventory and upkeep
Assist in publicizing all Aquatic programs and events
Assist with the management, training and evaluation of Swim Instructors and Lifeguards
Develop and implement new aquatic programs based on industry trends and standards
Initiate strategic partnerships with campus and community partners to design educational lifesaving skilled programs that will positively impact the campus
Administer regular assessments of aquatic and lifesaving skilled programs, including records with confidential data
Develop and implement new youth programs based on industry trends and standards
Heavily involved with youth programming, specifically summer camp (CampVandy)
Assists with the recruiting, hiring and training of camp staff, weekly scheduling and program development
Assist in the management of the Vanderbilt Rec Youth Programs Facebook page and other social media
Administer regular assessments of youth programs; maintain detailed records
Initiate strategic partnerships with campus and community partners to design educational youth programs that will positively impact the campus
Advises on staffing needs for assigned areas
Assist with yearly budget preparation for direct areas
Monitor expenditures in accordance with the approved budget
Assist in the production of communications, publications, and outreach material using multiple technologies and social media
Enforce all Rec policies, University policies and compliance standards
Other duties as assigned
***Hours: This position is exempt salary and is expected to work Monday through Friday. Weekends, evenings, and on call status are required.
This position does not have supervisory responsibility and reports administratively and functionally to Assoc. Dir, Campus Recreation.
Education and Certifications:
Bachelor’s Degree is required.
Current American Red Cross Lifeguard/CPR/AED/FA certification is required.
Current Lifeguard Instructor (LGI) is required.
Water Safety Instructor (WSI) certification is required.
CPO (or must obtain within 90 days) is preferred.
WSI-T certification is preferred.
Experience and Skills:
Minimum of 1 year experience working in Aquatics (pool management, operations, swim programs, and day camps) is required.
Must be proficient in swimming and safety skills.
Proven experience in leading aquatic and/or lifesaving skilled instructional classes is required.
Must be flexible and able to adapt easily to changes that occur on short notice is required.
Must be able to communicate effectively and relate to youth, parents, staff, and patrons is required.
Ability to lift 40 lbs.is required.
Master’s Degree in Parks and Recreation Management, Sports Management, Physical Education, or related field is preferred.
2+ years’ experience working in Youth Programs and Aquatics is preferred.
Experience in youth program development, fiscal management and staff development is preferred.
