Summary Provides general office support to the Recreational Sports and Athletic Facilities Office by performing the following duties:
Coordinates the daily operations and serves as point person for all reservations in the Sports and Recreation Center and athletic fields.
Approves and develops all schedules for groups that utilize athletic & recreation facilities including varsity athletic competition/practice, intramurals, club sports, academic departments and community use.
When needed, ensures that all required documentation is approved and attached within the reservation system
Update facility and athletic fields event and activity schedules and disperse to the appropriate individuals
Prepares quarterly and annual reports with patron facility usage and reservation data.
Assists in processing check requests, invoices, p-card statements and deposits.
Assists with file management, including preparation of documents, Google files, forms, copying and scanning.
Answers general phone line and directs calls to appropriate personnel.
Meets and greets visitors to the department as first point of contact; provides excellent customer service; and answers routine questions or concerns voiced by patrons, visitors, and callers.
Issues work orders to supervisors in WebTMA by batch validating.
Dispatches emergency work requests to appropriate manager and composes work requests in the WebTMA maintenance management software program.
Organizes various meetings including scheduling of meeting rooms, audio visual equipment, making meeting agendas and taking notes during meetings.
Assists with identifying and soliciting local sponsor prospects for Sports & Recreation Center and athletic events.
Assembles department material (i.e. highlight Rose-Hulman accomplishments).
Provides on-site supervision for SRC events when needed.
Coordination of events hosted in the athletic facilities and on athletic fields from beginning to end.
Creation of event layouts using programs such as Social Tables.
Assists with promoting and marketing recreational facilities, program and events.
Plan and organize office events (such as office retreat, conference registration/travel, party planning, etc…)
Other duties as assigned.
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and/or Experience: Bachelor’s Degree required; working experience and/or knowledge of higher education preferred.
Knowledge and ability to use Windows operating systems required; excellent time management and organizational skills with the ability to multi task required; very customer service oriented.
