This is a full-time position under the direct supervision of the Assistant Director of Sport Clubs. The Coordinator is responsible for assisting in the organization, planning, and risk management of Sport Club organizations and their members at Duke University. Sport Clubs at Duke consists of 35 current clubs with an average of 1,200 members each year. This position will have primary responsibilities during evenings and weekends including Saturdays during home competitions. Work hours will fluctuate in conjunction with Sport Club practices and competitions and will be communicated in advance by the Assistant Director of Sport Clubs.
Assists with the development, direction and evaluation of a comprehensive Sport Clubs program.
Responsible for onsite supervision of Sport Club practices and competitions during evenings and weekends.
Assists with arranging travel for Sport Club members.
Manages Sport Club membership through IMLeagues software.
Assists the Director of Sport Programs in scheduling of all club practices and events.
Supports student development and leadership efforts by assisting with monthly Presidents Meetings and Officer Trainings.
Oversight of Sport Club athlete concussion protocol in conjunction with Duke Health and the Student Wellness Center.
Provides leadership to part-time employees including Field Supervisors and Office Staff
Responsible for scheduling of Athletic Trainers and Emergency Medical Technicians.
Assists with budget management including, but not limited to:
Facilitation of Sport Club budget meetings.
Staff payroll tracking and bi-weekly approvals.
Works closely with the presidents and other officers of the clubs on a daily basis.
Conducts annual assessments for programming effectiveness and satisfaction.
Responsible for updating and distributing Visitor Guide and serves as primary contact for visiting teams.
Manages home game operations including risk management and equipment maintenance.
Serves as primary point of contact for traveling Sport Club members.
Acts as liaison between a variety of university constituents including Duke Athletics, Student Government, and other off-campus groups for initiatives and activities.
Coordinates and adheres to departmental risk management efforts for all programming.
Policy-making and/or interpretation Assists with the annual review of policies and procedures. Assists with the creation and implementation of policies for club travel, code of conduct, budget allocations, and special events.
Program Direction and Development Assists in the daily operations of the Sport Clubs Program.
Supervision Received Reports to the Assistant Director of Sport Clubs for the Recreation and Physical Education Department. Day-to-day functions are accomplished with some guidance or supervision in accordance with established policies and directives. Overall guidance is accomplished through supervisory conferences setting broad goals and objectives.
Supervision Exercised Supervises part-time employees which includes Field Supervisors, Office Staff and Athletic Trainers/Physical Therapists (Department of Physical Therapy Graduate Students).
Level of Public Contact Serves as public contact for students and other members of the campus community who use recreation facilities and program opportunities. Coordinates events with other university departments and staff members as necessary. This position requires excellent communication skills.
Monetary Responsibility Assists with cash advances, p-card transactions, club budget meetings, purchasing procedures, Duke Student Government Association allocations, and Gorter Fund budget allocations.
Responsibility for Confidential Data Has access to records which are confidential data and must be judicious in the discussion of information contained therein. Collects and secures confidential information regarding Sport Club participants. Adheres to laws relating to the confidentiality of information on students.
Marginal Functions of the Job The ability to lift a minimum of 50 pounds. Provides administrative and managerial support to the Assistant Director of Sport Clubs. Requires evening and weekend work.
Type and extent of instructions or directions normally given to the incumbent of this position by the immediate supervisor. Acts independently without the need for daily supervision. Seeks guidance as necessary and keeps supervisor informed of area operations and potential problems.
Bachelor's degree preferably in recreation administration, sports management, events management or related field from an accredited institution; experience in a recreation or athletic setting. One to two years of sport clubs experience. Must have a valid driver’s license. Must have CPR, First Aid, and AED certifications or be able to obtain within 60 days of employment.
Master’s Degree from an accredited institution in recreation administration, sports management, events management or related field. With over three years of supervisory experience.
Knowledge, Skills, Ability
Excellent oral and written communication skills. Proficiency in Microsoft Office products. Ability to communicate with diverse populations. Demonstrated understanding and a strong commitment to customer service. Knowledge of risk management planning. Ability to prepare financial reports, statistical reports, inventory control, budget management, and student development for the sport club program. Shares the responsibility of the mission, strategic planning and goals for Recreation and Physical Education. Knowledge of the principles and practices governing the management of sport clubs; knowledge of the principles and practices used in planning club activities; knowledge of the principles, practices and theory of recreation administration. Ability to plan, organize, schedule and promote recreation activities and programs; ability to supervise and direct the work of others; ability to establish and maintain effective working relationships with others; ability to prepare statistical and budgetary reports; ability to successfully work with and serve a diverse University community; good judgment; reliability; initiative and resourcefulness.
