The Department of Wellness is now seeking an experienced professional to lead its facility operations team in the position of Assistant Director of Operations at Oklahoma State University. Our facilities include more than 350,000 square feet including indoor/outdoor pools, cardio/fitness rooms, weight rooms, multipurpose rooms, indoor track, climbing/bouldering walls and over 50 acres of outdoor sports field. There are 4 separate facilities including Camp Redlands, a 120-acre property devoted to student learning and freshman orientation.
Our ideal candidate has a passion for providing exceptional customer service, experience in leading operations staff to include student facility supervisors, guest services, equipment checkout, and access control desk workers. Applicants should have a minimum of 2 years of related experience and previous experience in overseeing facility operations. The Assistant Director is responsible for direct supervision of Systems Administrator (IT Manager), Sr. Administrative Support Specialist, and Coordinator of Facilities and Aquatics and indirect supervision of Graduate Assistant of Operations and Graduate Assistant of Aquatics. Work schedule is generally M-F, 8-5 with some nights and weekends as needed.
Responsible for the Department of Wellness day to day Facility Operations in the Colvin Recreation Center, Seretean Wellness Center, and Colvin Annex.
Supervision to include recruiting, hiring, training, scheduling, and evaluation of Systems Analyst (department IT), Coordinator of Operations & Aquatics, Admin. Support Specialist
Indirect Supervision of a Graduate Assistant of Operations and a Graduate Assistant of Aquatics as well as oversight of up to 100 part-time employees
Create and manage Operations annual operating budget.
Oversee customer service operations for patron and customer related issues/concerns.
Serve as the system administration of CSI Spectrum NG facility management software
Oversee billing on all accounts receivables. Follow up with any past due accounts.
Oversee all recreation facility reservations, special events, and rentals.
Oversee event needs, scope, and event specifics with event organizers.
Establishes open recreation schedule for Department of Wellness facilities.
Responsible for all facility usage reporting.
Responsible for all mass messaging to facility patrons about promotions, changes to building schedules, and special events.
Develop all membership packages and implements new member recruitment programs and promotions.
Oversee the coordination of facility tours and presentations regarding departmental programs/services.
Develop, implement, monitor and evaluate departmental policies and procedures related to usage, customer service, and member/guest access.
Assist in the development of departmental emergency action plan and associated trainings.
Required Job Qualifications
Education: Bachelor's Degree in Recreation Management, Leisure Studies, Business or related field
Experience: 3 years of experience overseeing recreation facility operations in a collegiate recreation facility such as access control, facility supervision, equipment and locker checkout, and membership services. A completed two-year Graduate Assistantship will be counted as one year of professional experience.
Must be proficient in Microsoft Office Suite. Familiar with recreation management software systems such as Connect2, CSI Spectrum NG, Fusion, EZ Facility, etc., CPR/AED certified, experience in supervision of staff. At a minimum basic knowledge of accounting, budgeting, finance or management principles, practices, procedures and PCI compliance requirements.
Preferred Job Qualifications
Education: Master's Degree in Recreation Management, Leisure Studies, Business or related degree
Experience: 3-5 years' experience in overseeing recreation facility operations in a large collegiate recreation facility
Experience as an administrator with recreation management software systems such as Connect2, CSI Spectrum NG, Fusion, RecTrac, DSE Facility, EZ Facility, etc.
Certified Pool Operator or Aquatics Facilities Operator certification.
