The Campus Recreation department provides opportunities for USFSP students, faculty and staff to participate in a wide variety of recreational pursuits. Campus Recreation is a department within Student Affairs. The department has 8 full time employees and 100+ part time employees. The budget for Campus Recreation is just over $1 million and Campus Recreation includes Fitness, Competitive Sports, Outdoor Recreation, and Aquatics.
This position reports to the Assistant Director of Operations (#1383) and serves as a full time professional member of the USFSP Campus Recreation staff. The primary duties of this position will be the implementation, monitoring, and reporting of the fiscal and business process, including budget reconciliation, expenditure and budget transfers, recording and documenting department spending and purchasing activity, accounts payable/receivable administration. Position reconciles, adjust and monitor fiscal transactions in an effort to control the budget and report accurate accounting transaction to the appropriate accounting function. Runs routine reports from FAST/GEMS and create hiring appointment forms. Coordinating and reconciling financial transactions, budget preparation; collecting, verifying and submitting all OPS appointment action forms and time sheets and reconciling all daily business transactions. This position will work closely with other Campus Recreation program coordinators, Student Government, General Counsel, USFSP Police, the Wellness Center, and other various departments within the University community.
Responsible for preparing and monitoring of income and expenses for all department programs; reconciliation of all departmental accounts and all POS transactions or program sales. Facilitates the distribution and submission of University purchase card statements to financial business office once signed by the Director. Reconciles p-card statements for multiple employees; ensures all invoices are paid in a timely manner; runs routine budget reports from FAST and/or other department specific databases; prepares travel expense reports for all of staff; prepares auxiliary invoices for billing to customers. Manages and facilitates the processing of all Campus Recreation, internal USFSP departmental, payroll deduction and sales tax journal transfers for membership sales.
Initiates and prepares non-payroll expenditure transfers, payroll expenditure transfers and budget transfers in an effort to correct any discrepancies and allow for appropriate funds. USF Job Class Description Posts, balances and records credit card for an Auxiliary operation .Accepts payment and posts to the appropriate accounting system (FAST, FAIR, BANNER). Reconciles payroll registers to department ledgers, monitors pay distribution and salaries as they relate to the budget. Runs routine reports and queries related to the budget and expenditures (actual vs. budget). Utilizes FAST and GEMS generate routine fiscal and budget related reports. Generates and sends out notices for additional money/fees due, grant/contract closeout, auxiliary account balances or deficits, etc.
Responsible for collecting, reviewing and processing new appointment, reappointment and termination forms for all Campus Recreation OPS employees; Supports payroll processing by coordinating new hire on boarding times with Human Resources, preparing and distributing offer letters, coordinating bi-weekly payroll, collecting time sheets, updating, pay distribution and serving as point of contact for payroll issues. Prepares and distributes offer letters to new employees and serves as payroll certifier or preparer.
Handles purchasing functions, approves invoices for payment, and reconciles purchasing transactions (P-card, invoices, etc.) to the ledger. Resolves vendor billing problems. Prepares and monitors the monthly billing and invoicing process for all services rendered in a department, center, or auxiliary function (external and/or interdepartmental). Records and reconciles revenues and cash generated.
Assist in department strategic planning, budgeting efforts, marketing efforts, establish learning outcomes and obtaining department goals.
Assisting with other duties as assigned.
This position requires a High School diploma or equivalent with three years of work experience in positions with fiscal support duties. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis.
Bachelor’s degree in Business Administration or Finance or related field. A valid Florida driver’s license within 30 days of hire date is required. CPR/AED & First Aid certified, or the ability to obtain within 60 days of employment. A Graduate Assistantship will substitute for 1 year of professional experience. Experience with FUSION access control GEMS and FAST software.
