About the Department:
Mason Recreation oversees three facilities on the Fairfax campus of George Mason University including the Recreation Athletic Complex (RAC), the Aquatic Fitness Center (AFC), and Skyline Fitness Center. These facilities boast four gymnasiums, racquetball/squash courts, several locker rooms, fitness galleries and dedicated rooms for yoga, cycling, group exercise, and marital arts/self-defense classes. We house and maintain a recreation and competition pool, sauna, whirlpool, and several exterior facilities including a pavilion, turf and grass fields, jogging/walking trails, and a team challenge course on our Science and Technology Campus. We provide the following programs and services for the campus community: Fitness, Aquatics, Outdoor Adventures, Intramural Sports, Club Sports, the EDGE (team building programming), as well as a Summer Youth Camp.
Reporting to the Associate Director, Business Services, the Coordinator of Business Services oversees department sales and oversight of the management of membership software for Mason Recreation. The position will be located at the Fairfax Campus, Aquatic & Fitness Center.
Specific duties include:
Be the point of contact for membership communication. Have a presence at the front desk to assist the Customer Service Assistants and answer patrons’ membership questions;
The primary responder for membership related questions;
Oversee membership parking and locker room rentals;
Manage functions of the membership operation ensuring accuracy and rectifying any issues or discrepancies;
Annually train and attend monthly Customer Service Assistant meetings to inform staff of membership policies, updates and sales tactics to increase revenue;
Be knowledgeable regarding all aspects of the Fusion software and its implementation within the department’s operation;
Annually review and update the Membership Terms and Conditions, membership pricing structure, and membership website;
Compose, compile, and present monthly reports related to memberships and assist with departmental reports;
Responsible for completing the annual membership and facility usage report;
Work with the Assistant Director, Technology as it pertains to Fusion;
Monitor and respond to inquiries sent to the departmental email account.
Market memberships that include faculty/staff, corporate, part-time students, alumni and community groups;
Collaborate with the Assistant Director of Marketing for promotions and marketing materials for faculty/staff memberships, corporate, part-time students, alumni and community groups;
Table at Mason events on the Fairfax Campus to promote membership offerings and The EDGE program. Tabling opportunities include but not limited to the Get Connected Fair, The Health and Fitness Expo, Staff Appreciation event, and the SRTM career social;
Work with the Foundation Office to promote alumni memberships;
Outreach to the Mason Community about Mason Recreation Memberships and EDGE offerings by attending departmental staff meetings;
Oversee the Corporate Green and Gold Membership program.
Serve as the main contact person for Learfield/IMG, Riddle & Bloom, Newbridge Marketing and other sponsorship agencies;
Serve as the lead person in obtaining sponsorships for the annual Mason Open golf tournament;
Be the primary contact person for Mason Recreation sponsorships, and campus activations.
Assist the Associate Director of Business Services with planning alumni engagement activities which include Homecoming, and Mason Giving Day;
Oversee the collection of contact information for graduating seniors who work in the Mason Recreation Department;
Collaborate with the University Life, Director of Advancement for alumni engagement.
Maintain the highest level of customer service at all times;
Provide input for customer service policies; participate in the development and implementation of training conducted for customer service programs that result in pleasant, timely, and knowledgeable service for members, guests and clients;
Help develop and participate in the administration of assessment including annual member/guest surveys used to obtain feedback.
Review monthly financial results from memberships, sales, The EDGE and prepare and submit monthly reports;
Process EDGE client payments in Fusion software and EDGE credit and check payment sales;
Oversee Gym Pass payments;
Process, audit and reconcile unique memberships to include payroll deduction, corporate, honorarium and complimentary;
Ensure appropriate client billing for memberships, EDGE sales, and summer camps;
Resolve financial over/short deposit discrepancies in Fusion.
Work with Associate Director for Experiential Education & Staff Development and supervisor to create an individualized professional development plan;
Continue to develop professionally through membership and participation in applicable professional organizations and developmental workshops;
Represent Mason Recreation on divisional and University-wide committees; represent the institution on regional/national committees.

Bachelor’s Degree in Business, Recreation, Sport Management, Marketing or equivalent and related experience;
Possess strong organizational, problem solving skills, acts with integrity and demonstrates professionalism;

Basic knowledge of budget processes;
Must be able to obtain AED/CPR, First Aid and Blood Borne Pathogens Certifications within 3 months of hiring.
Master’s Degree in Business, Recreation, Sport Management, Marketing, Higher education or equivalent;
Two or more years related experience;
Strong prospecting skills and excellent sales closing skills.
