The Fitness and Instructional Program Coordinator reports to and assists the Assistant Director of Fitness and Fitness Facilities with the daily logistical operations of the University of Notre Dame fitness/instructional program.
This position has personnel management responsibilities that include the training, development and daily supervision of approximately 30 group fitness instructors and personal trainers. The Fitness and Instructional Program Coordinator will establish relationships and collaborate with other RecSports areas, departments within the Division of Student Affairs, and throughout the University to enhance fitness and instructional program services.
The Notre Dame RecSports fitness and instructional program offers over 40 different class options such as Zumba®, Barre, Yoga, and Indoor Cycling throughout the academic year with approximately 3,500 participants annually.
ESSENTIAL DUTIES & RESPONSIBILITIES
Program Management
Alongside Assistant Director of Fitness and Fitness Facilities, oversee development and administration of policies and procedures for fitness and instructional program including employee manuals, providing proper enforcement as needed
Coordinate group fitness and instructional class schedule via Innosoft Fusion and develop communication for timely updates to participants
Assist in the development of fitness schedules/course descriptions for 60+ classes each semester
Ensure waivers are completed online and/or in person for all programs offered
Provide excellent customer service by assisting front desk staff as needed with customer questions, concerns and complaints regarding fitness and instructional programs
Assist in oversight of 6 activity spaces, supporting Assistant Director of Fitness and Fitness Facilities with managing the maintenance and purchasing of fitness equipment
Research vendors and products for quality and pricing, advising Assistant Director of Fitness and Fitness Facilities on selection and purchasing of products and equipment for program operations
Conduct free fitness services including body composition testing, fitness consultations, and fitness equipment orientations
Assist in budget development, management, and expenditure decisions
Staff Supervision
Recruit, hire, on-board, train, supervise, mentor and facilitate professional development for approximately 10+ student employees
Implement annual student employee evaluations, including conducting and reviewing evaluations, recommending merit raises, and suggesting changes to improve employment process and/or work productivity
Develop and lead regularly scheduled fitness and instructional program staff meetings; coordinate ongoing professional development training in collaboration with the Assistant Director, covering topics such as policies, procedures, inclusivity, customer service, risk management, and format-specific training
Monitor employee safety and fitness certifications for compliance with stated requirements in each job description
Administration
Serve as a personal trainer and/or teach group fitness classes as needed
Utilize a variety of software to complete various tasks, such as bi-weekly payroll submission; creation, management and tracking of Fitness Classes and Personal Training packages; and refund processing
Submit facility requests to designated scheduler within established timelines, policies, and procedures
Submit marketing requests to Assistant Director of Administration within established timelines, policies, and procedures
Teach FA/CPR/AED certification classes for RecSports employees as needed
Miscellaneous
Provide assistance for campus-wide initiatives and support campus partners as a resource for wellness fairs, speaking engagements for halls/departments and other special events
Demonstrate active engagement with and support of the department mission, vision, and values
Represent the department on campus wide committees
Attend and participate in Division of Student Affairs events, programs, and training
Participate as integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Student Activities Office, Gender Relations Center, Multicultural Student Programs and Services, Office of Student Enrichment, Office of Community Standards, University Bands, Family Resource Center, and student media groups
Other duties as assigned
MINIMUM QUALIFICATIONS
Bachelor’s degree required, master’s degree preferred; major in recreation administration, sports management, leisure studies, physical education, kinesiology, or comparable degree
Hold a current Group Fitness Instructor and/or Personal Training certification from a nationally recognized fitness organization such as the AFAA, ACE or ACSM 1-2 years of work experience in a group fitness/personal training program in a collegiate recreation setting
Demonstrated knowledge of national trends and practices in fitness programming and various class formats
Ability to teach a variety of class formats on an as needed basis
Experience with programming or service delivery for diverse community populations
PREFERRED QUALIFICATIONS
Master’s degree preferred in recreation administration, sports management, student development or related field
Demonstrated experience supervising students
Possess a current CPR, AED, and First Aid Instructor certification
Two-year graduate assistantship in group fitness/personal training
Experience with fitness class scheduling software (e.g. Innosoft Fusion)
