The function and purpose is to manage point-of-sale and facility reservations for the Department of University Recreation. Additionally, provide customer service training and supervision of Operations Assistants.
Job Description:
40% Personnel:
Responsible for training, scheduling, and evaluating all Operations Assistants; Review job responsibilities and expectations for each employee and provide the supervision to ensure employees are knowledgeable about equipment use, policies and procedures, and safety requirements; Monitor and submit all payroll reports for Operations Assistants; Conduct monthly in-service trainings for employees including on-going training programs for employees as it relates to membership transactions and customer service.
30% Facility Rentals:
Coordinate all University Recreation, Student Organization and University Department facility rentals through proper contract procedures (90+ rentals annually); Coordinate the activities/events within UREC facilities to include event set up/tear down, adherence to policies and procedures, staff supervision and facility safety and cleanliness. This includes cooperative on-site management of areas of use in UREC facilities; Serve as the lead contact with professional team to ensure that information on all departmental activities, events, and university related matters is disseminated accurately to members and guests; Ensure that facility rental invoices are generated and reconciled in the timely manner; Conduct event and satisfaction assessments with all stakeholders and contracted events.
30% Facility Operations:
Oversee UREC Operations Desk - 3 desks located at 2 facilities; Manage member correspondence. This includes all rental/sales pieces, lockers and pro shop sales; Ensure all transactions are properly recorded (opening, processing sales, and reconciliation of funds); Run reports and provide analysis; Ensure effective communications to the operations staff for dissemination of information to members; Manage and maintain UREC's 1,447 lockers spread over 2 facilities; Oversee operations and maintenance relative to inventory for Pro Shop and open recreation; Ensure effective communication to the operations staff for dissemination of information to members; Manage all processing of registrations and point of sale transactions for the department; Provide feedback regarding departmental programs, equipment, and operations by conducting daily observations/engaging in programs and using equipment/facilities; Immediately report safety concerns to the functional area supervisor; Contribute positively to the work environment by participating in honest dialog that is indicative of the department's culture of team work; Willingly share all information with department teammates in an effort to provide high quality outcomes that contribute to student success; Maintain positive co-worker relationships and foster an environment of trust and inclusion; Provide staff coverage during evenings, weekends, and special events as determined by department and function need; Be active professionally through research, publications, presentations, speaking engagements, and involvement in professional associations.
Minimum Qualifications:
Bachelor's degree with 1 year of experience working in customer service in collegiate recreation managing a large, 40 to 60, part-time student staff.
Preferred Qualifications:
Master's degree with 2 years total experience including 1 year of experience in collegiate recreation, parks and recreation, or applicable field. Experience using Innosoft Fusion, EMS, and/or point of sale software.
Special or Physical Qualifications:
Due to the nature of the position and/or position responsibilities, this position shall be subject to drug/alcohol testing in accordance with University Police Statement 67.
Certifications/Licenses:
Required: Valid Driver's License
Preferred: American Red Cross Instructor certification in CPR and standard first aid.
