The Student Union, Inc.(SUI) is 501(c)(3) nonprofit auxiliary that maintains three major facilities at San José State University in downtown San José, California. These facilities include the Diaz Compean Student Union Building, the Provident Credit Union Event Center, and the Spartan Recreation and Aquatic Center. The Student Union, Inc. functions as part of the Student Affairs Division on campus, and is governed by a Board of Directors made up of a student majority, faculty, and administrators.
The Student Union, Inc. of San Jose State University supports the development, growth, and well-being of students and the campus community by providing diverse programs, desired services, and quality facilities to enhance the collegiate experience.
Under the general supervision of the Director, Recreation Facilities, the Membership & Guest Services Supervisor is responsible for supervising approximately 30-40 student employees within membership services, the front desk and equipment checkout area within the Spartan Recreation and Aquatic Center (SRAC). Areas of supervision include membership & program registrations, point of sale (POS) operations, front desk staff, equipment desk staff, maintenance, and staff training. Works closely with SUI’s marketing team to facilitate the department’s outreach initiatives related to faculty/staff, alumni, and campus community communication and membership notifications.
Works directly with SUI IT group for Fusion membership software, mobile app, and its selected modules, member entry control at turnstiles, point of sale (POS.) Serves as the primary liaison with Fusion, SUI IT and campus partners to coordinate system upgrades, data integration, and troubleshooting of the recreation management software or associated hardware (eg, turnstiles, cash register, receipt printer, etc.). Compiles, interprets, and maintains data for miscellaneous reports. Oversees equipment checkout, locker rental, class and program registration, and membership management.
Instill the value of customer service standards with students through training and consistent management. Works closely with SUI Student Success and Assessment team to ensure for growth and proper training of student staff.
DUTIES AND RESPONSIBILITIES
Hires, trains and supervises student staff to include student assistants working the SRAC front desk and equipment desk.
Oversee front desk operations, to include program registrations, member sales and services.
Oversee equipment desk operations to include inventory, purchases and recommendations for equipment.
Provide oversight and accountability for financial transactions, cash handling, and reconciliation in accordance with SUI’s accounting policies.
Review and maintain front desk and equipment desk policies and procedures.
Develops and maintains collaborative relationships with the following: Department of Kinesiology, Intercollegiate Athletics, Facilities Services, Student Life and Leadership, Associated Students and other departments as appropriate.
Develops, maintains and is fiscally responsible for the Membership & Guest Services budget.
Partners with SUI Marketing department to support the promotion of Spartan Recreation and its programs through marketing and outreach to the campus and surrounding community through direct messaging, membership drives, newsletters, and campus events.
Partners with all SUI to facilitate an inclusive environment that inspires innovation and effective student development.
Partners with SUI Student Success and Assessment team to ensures learning outcomes are developed and assessed annually for the student staff.
Assists Spartan Recreation team members in supporting all programs, facilities and services.
Performs additional duties as assigned.
Fiscal Management - Conducts operations in a fiscally sound manner while contributing to the budget process. Maintaining efficient and effective budget reconciliations and may pull data for reporting purposes. Understands implications of budget and makes recommendations for solutions.
Leadership & Supervision - Partners with team members or leads internal teams to maintain effective work relationships with people from diverse backgrounds; Maintains dignity and self-control in difficult situations; Supervisory responsibilities may include planning, assigning, and directing work; resolving issues in a way consistent with corporate policies

Implements procedures to identify and correct potentially hazardous or unsafe working conditions. Mitigates risk where appropriate through knowledge of policies and procedures.
Requires a BA/BS degree in Recreation Management, Sport Management, Hospitality Management, or other related field. Master’s preferred.
2 years’ related experience supervising part time or full time staff in a reception, front desk operation, ideally in a collegiate recreation or fitness center environment.
Current First Aid/CPR/AED certification; American Red Cross preferred.
Requires strong computer skills including the use of excel, power point, etc.
Requires good oral and written communication skills.
Strong leadership and organizational skills.
Cash handling and reconciliation experience.
Ability to coordinate, organize and prioritize projects with attention to detail.
Ability to develop effective working relationships with student leaders, faculty/staff, community members and campus group users within a very diverse community.
Ability to communicate effectively both orally and in writing.
Ability to supervise students and delegate responsibilities.
Available to work flexible work hours, including occasional weekend, evenings and holiday’s.
