PRIMARY POSITION FUNCTION/SUMMARY:
The Member Services Coordinator is responsible for all duties relating to Member Services and serves as the main contact for inquiries at the Campus Recreation Center East (CRCE) facility. This position works in partnership with and fills in for the Assistant Director for Member Services when necessary at the Activities and Recreation Center (ARC) facility.
DUTIES AND RESPONSIBILITIES:
Lead the Member Services Team at CRCE in membership and/or program registration cycles.
Resolve issues between patrons and follow-up with customer-service related issues transpiring at Campus Recreation facilities in a timely manner.
Handle issues relating to visitor passes, membership agreement files, equipment rentals, concessions, locker rental agreements/tracking? assist with equipment purchases as necessary.
Assist with management, application, and uses of the Innosoft Fusion point of sale and member management program, including membership, equipment and locker rentals in all facilities (excluding the Ice Arena).
Track and compile information and data in conjunction with monthly, mid-year and yearly reports. Utilize information to assist in developing policies, procedures and strategic goals for Member Services.
Research and analyze trends in collegiate recreation memberships to determine whether any potential changes are to be made. Provide input on the fiscal needs of the program utilizing programmatic recommendations and proposals.
Assist in developing marketing and promotion efforts around membership development and retention in conjunction with the marketing department.
Hire, train, supervise and evaluate Member Services Staff including: program assistants and facility assistants. Assist with hiring, training and evaluating of Member Services Managers, Customer Service Assistants and additional hourly personnel as needed.
Determine staffing needs and hire qualified candidates based upon certifications, experience, skills and ability to contribute to the diverse needs of the University of Illinois and Campus Recreation.
Evaluate personnel via random shift audits and observations from professional and leadership staff.
Supervise and assist in the development of student staff, including developing and/or locating professional development resources to contribute to the continuing education of staff.
Performs daily supervisory duties of the Member Services area at CRCE facility.
Monitor and ensure compliance of required staff certifications.
Review, in conjunction with the supervising Associate Director for Financial Operations, Assistant Director of Member Services, and Assistant Director of Risk Management, existing policies and procedures pertaining to the access of Campus Recreation facilities.
Enforce and maintain Campus Recreation policies and procedures as they pertain to membership and access.
Work with the Assistant Directors of Member Services, Risk Management and Student Development to implement area-specific training presentations for student employees to enhance customer service, programming and facility management efforts.
Serve on and be an integral part of the Student Development Committee to improve Campus Recreation’s student employees.
Participate as a member of the Campus Recreation professional staff in the development and implementation of policies and procedures.
Participate in the development of programs, departmental objectives and long-range planning, by performing research, providing recommendations and implementing plans as appropriate.
Work with Facility Operations staff in regards to any necessary facility-related projects and maintain close communication.
Assist with early morning, night, and weekend coverage as needed.
Serve on Division, Department, and/or University committees as assigned.
Other duties as assigned.

This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after July 19, 2021. Salary is commensurate with experience.
