The Department of Intramural-Recreational Sports, a division of Athletics at the University of Virginia, is seeking qualified applicants for Assistant Facility Manager, Memorial Gymnasium, a full-time, twelve-month Management and Professional University Staff position with full benefits.

Assistant Facility Managers plan, coordinate and execute, direct and indirect, comprehensive facility operations for multifaceted indoor and outdoor recreation facilities and spaces. Effective operational execution includes planning and oversight of a comprehensive application of safety, maintenance, staffing, cleaning, event management, and service-focused strategic and operational management. They perform and execute a wide range of operational and administrative responsibilities to assist with personnel management, project management, event support, athletic competitions, fiscal processes, recordkeeping, customer relations, and compliance. They collaborate with facility managers and build partnerships with maintenance and custodial personnel, as well as internal and external customers. They work mostly independently to provide and orchestrate customer service and execute seamless and safe operations.

Responsibilities include:

• Provides primary and direct oversight and preparation of large part-time student staff responsible for managing emergency response, operations, leading other staff crews, program support, reservation support, and seamless service.
• Oversee extensive daily operations of a multifaceted high risk recreation facility, also designated as an emergency shelter. Duties include safety management, emergency response, maintenance, cleaning, code compliance, and funds management.
• Directly oversees, manages and assesses outdoor recreation spaces for safety, security, and emergency response, weather-related emergency preparedness, inspections, surveillance, and compliant use.   
• Oversees daily outdoor recreation operations including space monitoring, access, inspections, maintenance, cleaning, equipment quality; event, reservation, and program support.   
• Supports and oversee hosting and onsite management of major university events to include commencement, reunions, athletics, etc.
• Supports and hosts athletic department tenants, competitions, and events, serving as onsite event managers assuring safety and full execution of successful athletic events.
• Assists Facility Manager in most aspects of assessing, planning, scheduling, and executing recurring and new maintenance activities, to include reviewing costs, keeping necessary financial records, and ensuring delivery of services.
• Assists Facility Manager in most aspects of assessing, planning, scheduling, and executing cleaning and sanitation program, to include reviewing costs, keeping necessary financial records, and ensuring consistency of APPA cleaning levels. 
• Develops partnerships and foster relationships with service providers, stakeholders, contracted vendors, facility tenants, and facility users.
• Directly manages customer relations issues, initiatives, and advocacy to ensure membership value and to support auxiliary revenue-based customer satisfaction focus; upholds policy development and enforcement.
• Submits work orders, maintains maintenance records, conducts facility safety and maintenance audits, monitors work order progress, and ensure work is completed safely with minimal impact to customers.
• Oversees accuracy, application and execution of several emergency response plans and requirements to include evacuation, sheltering, securing, state sheltering, and COOP plans, etc. Trains and certifies part-time staff on CPR/AED.
• Ensure daily readiness of staff and monitor compliance with safety procedures.
• Oversees software and technology support equipment, that supports daily operations including POS software, facility access, funds handling, inventory, reporting, scheduling, surveillance, etc.
• Supports the Facility Manager in execution of annual fiscal and budget practices to support unit. Support includes budget assessment, monitoring, proposal, reconciliation, procurement, etc.
• Supports Facility Manager in leading and facilitating facility improvement projects. Project management includes budgeting, procurement, inspections, and project monitoring.
• Serves on departmental committees, leads department training programs, supports other department initiatives related to student training, events, or social activities.   
• In addition to the above job responsibilities, other duties may be assigned.

MINIMUM REQUIREMENTS:

• Bachelor’s degree in Recreation, Leisure Studies, Sports Management, Physical Education, Athletic or Public Administration, Student Affairs, or related field.
• CPR/AED, First Aid or obtain within 90 days of employment.
• Collegiate or community recreation facility supervision and operations management.
• Professional experience supervising student and/or part-time employees.

Preferred qualifications:

• Master’s degree in Recreation, Leisure Studies, Sports Management, Physical Education, Athletic or Public Administration, Student Affairs, or related field.
• Professional experience or graduate assistantship in facility management at the collegiate level.  
• Experience using Fusion Software, online staff scheduling software, timekeeping, and payroll software.
• Experience managing indoor and outdoor spaces and operations in a recreation setting.
• Experience managing athletic events.

PHYSICAL DEMANDS

Will require frequent traveling, standing, and climbing stairs to access buildings and facilities in order to assess conditions and review facility projects. The position will require occasional light lifting, bending and stooping, in addition to the use of desktop computers in an office environment.
