The Coordinator of Facility Operations assists with the administration and supervision of facility management and maintenance of the day-to-day operations for the University of Colorado Colorado Springs (UCCS) Campus Recreation Department. Facility Management and maintenance is designed to enhance the well-being, leadership, development, and participant connection to the campus community. These operations include staffing, enforcement of departmental and University policies & standards, creating an inclusive environment, appropriately managing patron conflicts, facility risk management, and coordination of space between informal recreation and reserved events.
Typical work schedule will be between 10am-7pm including evening and weekend hours to engage and support program staff and participants. Serves as a primary responder regarding facility issues during early mornings, evenings, and weekends as necessary. No vacation permitted the week prior to and first week of each fall and spring semester.
This position reports to the Manager of Facility Operations, and supervises approximately 20+ student employees including custodial techs, fitness center monitors, guest service attendants, building managers, and a program assistant.
Leadership and Program Management
- Manage and maintain all department facility use schedules and calendars including periodic review and updating of facility reservation policies, procedures, processes, logistics, and fee schedules.
- Manage access to Campus Recreation facilities for internal and external groups including Conference and Events Services, Intercollegiate Athletics, ROTC, Health Sciences, Sports Management, Family Development Center, Admissions, and additional groups to create cooperative scheduling procedures and accommodations.
- Coordinate facility set up and cleanup process by communicating with user groups to ensure proper layout and set up of spaces.
- Ensure pre and post event quality condition of equipment and
- Distribute facility use satisfaction surveys to inform necessary
- Assist program areas with logistics to best facilitate programming and activities through space allocation, set-ups, and signage.
- Oversee daily operations of the Gallogly Recreation and Wellness Center fitness center; conduct inspections and risk management assessments, develop, and implement sanitary cleaning systems, and oversee maintenance and repair needs.
- Manage the inventory and use of informal recreation
- Provide oversight of building access including Fusion software, security door controls and security camera systems.
- Manage guest locker and towel rental
Personnel Management and Student Development:
- Recruit, hire, train, supervise, mentor, schedule, assign responsibilities, and evaluate student employees including Building Managers, Guest Service Attendants, Fitness Center Monitors, Student Custodial staff, and a Program Assistant.
- Complete annual evaluations and present coaching and development opportunities throughout the evaluation period to direct reports.
- Coordinate, implement, and evaluate student employee outcome-based trainings, meetings, and professional development opportunities.
- In collaboration with the Campus Recreation Business Services Office prepare, review, and submit human resource documents.
- Manage payroll for direct reports with the facility operations and maintain payroll
- Act in accordance with department and university student employment and human resources policies and guidelines.
- In collaboration with Manager of Facility Operations, work to advocate for and create facility operations internship and practicum opportunities for students.
- Lead student staff training and education on how to properly utilize all work-related equipment and associated engagement with student and community users.
- Develop work plans and schedules in accordance with established unit, program objectives and funding
- Organize and present facility operations training content during professional staff and student employee development conferences/trainings.
Fiscal and Resource Management:
- Assist the Manager of Facility Operations in the development, implementation, management, reporting, and evaluation of program budget including but not limited to payroll and operations.
- Assist the Manager of Facility Operations in the managing and maintaining budget in accordance with department, division, and university guidelines and policies.
- Reconcile expenditures and ensure prudent stewardship of
- Ensure that business functions employ best management practices and are consistent with department and university standards.
- Provide oversight and coordinated use of [program area] equipment including ordering, organization, inventory, security, and maintenance.
- Track use of cardio and strength equipment and make recommendations for the equipment replacement plan.
- Assist the Manager of Facility Operations in facility operations budgeting process by providing data on equipment use, payroll schedules, and supply needs.
- Assist in identifying and establish future facility project priorities based on industry changes, campus needs, and budget resources.
- Coordinate contracted facility operations services and
- Train staff on cash handling procedures and implement processes to maintain effective cash reporting
- Initiate facility maintenance work orders; monitor and track work and billing of associated work
- Manage fitness center cardio and strength equipment preventative maintenance plans and
Risk Management:
- When emergency situations arise, serve as a first responder, utilize necessary communication, and provide care in accordance with certification perimeters.
- Recommend policies and procedures that protect the health and safety of our
- Collaborate with department staff and external partners on decisions related to healthy and safe playing conditions at Campus Recreation facilities.
- Serve on the department risk management committee and present facility operations training content and risk management tabletop discussions during professional staff and student employee development conferences/trainings/meetings
- Assist in the training, updates, and evaluation of the department Emergency Action Plan (EAP) as it relates to facility operations
Promotions and Marketing:
- In collaboration with the Manager of Membership and Marketing and the Student Marketing Team, advertise and promote facility operations, programs, memberships, access, and informal recreation affinity groups across campus.
- Review facility operation website information and marketing materials created by the Student Marketing Team for updated and accurate content.
- Collaborate with the Manger of Membership and Marketing and the Student Marketing Team in researching and recommending marketing and promotional strategies to promote facility operation programs, service, and events.
- Ensure marketing materials, messaging, and digital platforms are consistent with department and university marketing policies and guidelines.
Administrative Duties:
- Responsible for monitoring, compiling, organizing, and analyzing facility operations data collection and reporting, including but not limited to, learning outcomes, assessment plans, and annual reports.
- Assist Manager of Facility Operations in the identification, development, application, and evaluation of guidelines and procedures related to facility operations in according with industry standards and department and university guidelines.
- Regularly review and update facility operations handbooks and manuals including, staff training materials, cleaning, and task lists.
- Serve on assigned departmental and University committees to support the mission, vision, and core values of Campus Recreation.
- Perform other duties as assigned that support the mission, vision, and core values of Campus Recreation and the Division of Student Affairs.
- Attend professional development conferences, workshops, seminars, and advocates for professional development throughout the department to stay abreast of current trends and industry standards.

- Position is required to attend Campus Recreation classes and/or programs and use various facilities and equipment periodically to ensure that they are meeting or exceeding department and industry standards and risk management guidelines

- Assist with the management of a variety of systems including security cameras, lightning detection, Fusion/Kx scheduling software, lighting controls, and PA system
- Manage iPad/tablet and 2-way radio training, maintenance, and distribution for department

- This position is designated as a Campus Security Authority and Mandatory
- Certification in CPR with AED, Standard First Aid and Blood Borne Pathogens/Universal Precautions is required within 90 days of hire.

Minimum Requirements
- 2 years of post-secondary education, vocational degree, or formal training plus a minimum of 2 years of demonstrated experience in recreation facility operations/management, OR Bachelor's degree in a field appropriate to the area of assignment AND 1 year of demonstrated experience in recreation facility operations/management
- Current CPR/AED/First Aid certification or ability to obtain certification within 3 months of start date
Preference will be given to candidates with the following:
- 3+ years of recreational center, community center, or fitness facilities
- Red Cross Instructor for First Aid, CPR, AED
- Demonstrated professional involvement with organizations such as CPRA, NIRSA, NRPA, NASPA, AORE, or ACPA or related field
