Job Summary:
Under the direct supervision of the Associate Director, Business Operations for Campus Recreation, the incumbent will provide development and administration of a comprehensive student employee experience that fosters engagement and well-being for the TU community through diverse, inclusive and accessible programs, services, facilities and employment. This includes but is not limited to department recruitment, hiring, on/offboarding procedures, new hire orientation, in-boarding, ongoing professional development, payroll processing, evaluation, accountability, data collection, and recognition/appreciation events. The Assistant Director is responsible for fiscal administration of employee experience operations, assessment of student employee related goals and objectives, and direct supervision of student employees and a graduate assistant.
Responsibilities and Duties:
Responsible for overall departmental student employee human resource processes and procedures to include recruitment, hiring, on-boarding/in-boarding, orientation, evaluation, accountability, and off-boarding. Manage Handshake (university student recruitment site through Career Center) postings on behalf of Campus Recreation and internal application processes for the recruitment and documentation of student employment applicants. Work with the SubItUp enterprise network/software to ensure accurate student records and certification processes are maintained accordingly and compliant with TU policies. Coordinate twice per semester student employee recruitment and hiring processes to include marketing and recruitment, application review, interview scheduling, offers of employment, and onboarding/in-boarding in cooperation with university human resources and payroll offices. Coordinate annual recruitment, hiring, and on-boarding of Campus Recreation graduate assistants. Verify applicant certifications (CPR, First-Aid, Lifeguard Training, etc.) and coordinate certification record keeping with the Assistant Director, Aquatics and Safety. Coordinate new employee orientation (NEO) and departmental onboarding. Evaluate and oversee administrative procedures for student employee accountability and appraisals related to departmental policies and procedures. Maintain student employee Blackboard content and other avenues of communication with student employees. Coordinate all background checks with Human Resources for any student employee who works directly in the presence of/with minors. Coordinate vehicle clearance for employees and others who drive University/departmental vehicles. Coordinate and administer student employee exit interviews and offboarding procedures for all terminations and resignations. Oversee annual review of student employee position description forms and maintain files for all positions. Manage the procurement, inventory, and distribution of staff uniforms. Serve as a department liaison to University partners involved with student recruitment, employment, and retention. Conduct annual review/revision of the student employee wage scale, student employee handbook, and Employee Experience standard operating procedures. Assist in coordination of on-boarding of departmental full-time employees and graduate assistants.
Responsible for department wide student employee training, development and leadership initiatives. Collaborate with departmental staff to lead the development and implementation of department-wide student development and training programs to include in-boarding, mentor programs, annual all-staff trainings, and student leadership trainings. Collaborate with departmental staff to establish student employee development priorities and program area employee development plans. Serve as the primary facilitator for the Campus Recreation Student Employee Leadership Council (SELC) responsible for member solicitation and on-boarding, creating meeting agendas and development opportunities, and overall management of SELC operations. Work with area supervisors and the Associate Director- Programs and Assessment to develop learning outcomes and assessment tools. Responsible for developing partnerships and collaborations within Student Affairs and Academic Departments. Promote and support professional development and student employee involvement in on-campus leadership and service opportunities. Serve on the Student Affairs and University committees as assigned.
Recruit, hire, train and directly supervise student personnel employees as needed and a graduate assistant that will assist with employee experience operations. Develop and coordinate periodic in-service training sessions for direct reports.
Work in accordance with Associate Director - Programs & Assessment on overseeing program and operational assessment related to departmental assessment plan. Provide annual assessment data collection and reports to support departmental assessment plan. Provide information annually and as needed to support departmental annual report. Supervise campus recreation facilities and staff on designated evening and weekends, as assigned. Serve as the Chair of Campus Recreation’s Recognizing Employees Committee. Contribute to the accomplishment of department goals and initiatives, as assigned. Assist the Associate Director, Business Operations in maintenance of student employee alumni contacts and creation of engagement opportunities.
Provide budgetary oversight for all employee experience operations including student employee recruitment, hiring, training, recognition, and uniform expenses. Assist in updating data related to student employee budgets. Monitor all procurement card purchases related to student employee programmatic operations. Provide monthly and/or annual budget reports on all program and operational budgets as requested. Provide annual budget request and adhere to allocated funds for each fiscal year.
Required:
Bachelor’s degree from an accredited college or university.
Two years of professional experience (two years of GA experience will count as one year of professional experience).
Experience managing logistics of employee recruitment and hiring.
Experience training students or professional employees.
Demonstrated ability to manage multiple priorities and work in a diverse environment.
Current CPR/AED or ability to obtain within 90 days of hire.
Preferred:
Master’s Degree from an accredited college or university.
Computer competency and experience with presentation software, multi-media training programs, and database management software.
Experience in student development in higher education.
Demonstrated supervisory experience of student or part-time employees.
