Overview:
The Assistant Athletic Director, Club Sports and Undergraduate Intramurals provides professional-level leadership in the management of Club Sports and the Undergraduate (UG) Intramural Program. This position is responsible for supervising staff, coordinating facility use, overseeing risk management and finances, supporting student officers and club sport coaches, and delivering high-quality programming that enhances the student experience. The role reports to the Associate Athletic Director, Campus Recreation.

Principal Responsibilities:
Program & Event Management:
1. Administer the Club Sports Program
2. Oversee a robust and dynamic Club Sports program consisting of 49 active clubs.
3. Communicate and collaborate with club officers, coaches, staff, and campus partners.
4. Manage and enhance program policies, procedures, and workflows to meet university and divisional requirements and improve the student experience, including travel, facility use, budget management, roster management, resource allocation, educational resources, and participant/coach training.
5. Serve as the Club Sports program risk manager in collaboration with department leadership and University Risk Management.
6. Meet regularly with club officers and coaches to provide support, leadership, and guidance.
7. Direct, support, and guide the department administrative assistant in completing tasks aligned with Club Sports operations.
Administer the Undergraduate Intramural Program:
1. Oversee a historic intramural program with participation from each of Yale's 14 Undergraduate Residential Colleges.
2. Collaborate with intramural student leaders (Head IM Secretary and College IM Secretaries) on program rules, sport offerings, and expectations.
3. Develop program policies, eligibility rules, and playing regulations.
4. Plan and manage regular season and playoff schedules.
5. Supervise evening/weekend programs and special events as needed.
Staffing & Supervision:
1. Recruit, hire, train, schedule, and supervise 40+ part-time student and casual employees supporting both Club Sports and UG Intramural programs.
2. Recruit, hire, train, schedule, and supervise 35+ part-time and volunteer Club Sport coaches.
3. Develop and deliver training, guidance, and ongoing supervision to ensure high-quality customer service and program delivery.
Facilities & Operations:
1. Coordinate facility reservations for Yale Athletics and Recreation venues and secure supplementary facilities as needed.
2. Communicate operational and logistical needs with appropriate stakeholders.
Administration & Finance:
1. Collaborate with divisional and university partners and leadership.
2. Compile, analyze, and report participation data, statistics, and program outcomes.
3. Manage employee paperwork, payroll processes, and weekly timecard submissions.
4. Monitor budgets for staffing, programming, and equipment; provide recommendations for capital repairs and replacements.
5. Administer program management software (Fusion Club and Fusion Play) and maintain program websites.
6. Perform other duties as assigned.
Required Skills and Abilities:
1. Knowledge of campus recreation and customer service industry trends, standards, and best practices, with specific experience in Club Sports and Intramural programming.
2. Demonstrated ability to create and adapt engaging programming.
3. Ability to work nights and weekends, as needed.
4. Experience with Fusion Play/Club or other program management software.
Preferred Education and Skills and Abilities:
Graduate degree in a related field.
Principal Responsibilities:
1. Assumes primary responsibility for a program, service, activity, operation or function in an assigned area. Develops objectives, practice and procedure and identifies resources to ensure accomplishment of operational goals. 2. Coordinates day-to-day operations in order to achieve designated goals. Ensures effective management and leads the development and implementation of best practices. 3. Designs and implements quality control metrics to identify areas of risk. Analyzes, recommends, and implements strategic solutions to minimize risk. 4. Develops a variety of complex report and other written materials. 5. Provides guidance to and collaboration with internal and external partners as necessary. 6. Develops, oversees and monitors budgets. 7. Develops and maintains specialized training. 8. Performs other duties as assigned.
Required Education and Experience
Bachelor's Degree in related field and three years of related experience or an equivalent combination of education and experience.
